An opportunity has arisen for an Executive Administrator and Facilities Supervisor based in the City of London to provide administrative support to the Executive Directors, to handle confidential matters discreetly, to operate reception, supervise Facilities and to perform other administrative functions for the Company.

Your Responsibilities:

The main duties of this role will include:

  • Administrative assistant to the Executive Directors
  • Assist Managing Directors’ liaison with managers throughout the business, in the UK and overseas
  • Screening telephone calls, when required
  • Handle incoming post on behalf of the Executive Directors
  • Operate Reception and general Front of House duties including management of visitors and meeting rooms and associated catering arrangements
  • Organising travel arrangements including visas, accommodation and appointments
  • Assist with the organisation of corporate entertaining events for clients
  • Update and distribute management itineraries
  • Organise Board meetings and, where necessary, other meetings and discussions both internally and externally including booking rooms
  • Preparation of Board packs and other meeting packs as necessary
  • Point of contact for meeting room requests from external visitors to ADMISI and associated arrangements (IT equipment/lunches/office passes etc)
  • Taking and distributing meeting minutes as required.

Your Profile:

The successful candidate will possess the following:

  • Mature and confident approach to handling senior managers and visitors to ADMISI
  • Microsoft Office - Intermediate Word, PowerPoint & Excel
  • Accurate touch typing skills
  • Good knowledge and understanding of English grammar
  • Educated to at least GCSE Level or equivalent required
  • Prior experience in a similar role in particular with providing day to day support to senior executives
