Executive Assistant / Office Manager

Location: Central Support Office (Newcastle)

We currently have an exciting and challenging vacancy for an Executive Assistant / Office Manager to join our team based in our Central Support Office located on Newcastle City West Business Park (NE4)

Contract type: Permanent
Working Hours: Monday to Friday, Full Time.

Main Responsibilities of the Role:

Executive Assistant Duties:

  • Providing personalised and timely support to the UK Board of Directors
  • Providing administrative support for various corporate transactions and projects
  • Organisation of the monthly board meetings and executive management meetings
  • Managing information flow in a timely and accurate manner
  • Managing Director’s calendars and arranging meetings
  • Travel and accommodation arrangements
  • Taking minutes for meetings
  • Formatting information for internal and external communications - memos, emails, presentations and reports
  • Screen and direct phone calls for the Directors
  • General admin duties

Office Management Duties:

  • Facilities management - building repairs, office supplies, stocked and tidy
  • Meet and greet visitors to the office
  • Assume ownership of the appearance and productive state of the office, to include common areas, conference rooms, kitchen and games area
  • Manage car parking rota
  • Manage office reorganisation, when required
  • Sending of post and packages from head office - internally and externally
  • Sign for packages and ensure prompt distribution - work related only
  • Complete company questionnaires requested by customers
  • Sending new insurances and policies to customers upon request
  • Manage the enquiries, hello and reception email inboxes
  • Set up video call and conference facilities
  • General data collection as required by the business
  • General administration as required by the business

Person Specifications:

  • Previous experience of supporting an Executive Management Team
  • Experience in office management responsibilities
  • Excellent written and verbal communication skills
  • Proficient MS Office knowledge and skills, including outlook/e-calendars
  • Outstanding organizational and time management skills
  • Ability to work independently without guidance
  • Discretion and confidentiality
